Educational Services Assistant - Humanities Office

Primary Role

Provides varied and complex administrative and office support services for English, History, Theatre Arts, and World Languages and Cultures Departments.


Typical Duties and Responsibilities

  1. Performs a range of administrative/office support services including: correspondence preparation; filing maintenance and retrieval; copying; customer service; service by phone, in person and through the mail; distributing mail; scheduling meetings and events; arranging appointments and travel.
  2. Answers questions by phone, in person, or by mail.  Provides program information and explains program policies and procedures to diverse customers, both internal and external, providing expert counsel and advice.
  3. Collects and processes data and information collected from applications, forms, requests, insuring completeness and accuracy.  May maintain a supporting database and files.
  4. Prepares and proofreads documents including reports, contracts, and correspondence.  Completes and prepares routine reports.  May draft correspondences for signature of others.
  5. Conducts financial transactions such as purchasing goods and services, receive and deposit payments, monitor benefits and expenditures, submit and track payroll data, institute payment requests.
  6. Collects and allocates Purchasing Card receipts in order to manage Visa accounts for various faculty members.
  7. Assists History Department in planning for District History Day.
  8. Assists with Department searches – prepare interview schedule and distribute packet of information to those participants in the interview process, make travel arrangements, if needed, and reimbursement to faculty.
  9. Assists with William L. Hofelt Writing Award: send invitations; collect entries and distribute them to the Award Committee for selection of winners.
  10. Enters or extracts information in Datatel system.
  11. Prepares and completes documents for annual budget; serve as budget officer for same.
  12. Must be proficient in making decisions and multi-tasking.
  13. Perform a variety of duties that require a high degree of confidentiality.
  14. Perform related issues as assigned.


Supervision Required/Given

Works with considerable independence.  Must work collaboratively with diverse individuals and groups.  May supervise a small support staff and/or other student assistants.


Position Qualifications

  1. Knowledge and capabilities normally acquired through a high school diploma, academic/business office training or equivalent combination of education and experience.
  2. Three-years experience in an office setting and advanced abilities in PC programs such as Word, Excel, Access, Datatel and others, also office equipment, such as copier, scanner, and fax machine.
